GEM Industries, Inc. is seeking a dependable, detail-oriented Office Administrator to support daily office operations and help keep our projects, paperwork, schedules and communication running smoothly. This position is a great fit for someone who is organized, professional, comfortable in a fast-paced environment and able to work with office staff, field employees, subcontractors, vendors and customers.
Responsibilities include maintaining digital and paper filing systems, preparing project documents such as contracts, change orders, and closeout paperwork, entering information into company systems, AIA document billing and collections, organizing timesheets and field reports, coordinating communication, supporting compliance documentation and assisting with the handling of phone calls, emails, visitors and general administrative tasks.
Qualified candidates should have a high school diploma or equivalent, strong computer skills, professional communication skills, attention to detail, basic math skills and the ability to manage multiple priorities. Previous office administration, customer service, bookkeeping, dispatch, construction, manufacturing or trade-related experience is preferred. Experience with QuickBooks, Microsoft 365, Procore, Textura, Buildertrend, or similar software is a plus.
