We are looking for a responsible Administrative Assistant with a strong work ethic to perform a variety of tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and handling our company's general administrative activities. Responsibilities include making and maintaining appointments and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills, attention to detail, be personable and be able to organize their work using tools, like MS Excel and office equipment.
RESPONSIBILITIES:
Answer and direct phone calls
Organize and schedule appointments
Plan meetings
write and distribute email, correspondence memos, letter, faxes and forms
Conduct official fingerprinting services in office and sometimes off site
Maintain filing system
Maintain policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Provide general support to customers
Act as the point of contact for internal and external clients
Liaise with management to handle requests and queries from senior managers
Complete live scan fingerprinting(May require evening hours a few times per year)
SKILLS:
Proven experience as an administrative assistant or office admin asst.
Knowledge of office management systems and procedures
Proficiency in MS Office (MS Excel and MS Word, in particular)
Ability to prioritize
Excellent written and verbal skills
Ability to multi-task
High School diploma or GED
Hours: 8:30am-5:00pm Monday-Friday
CANDIDATES MUST BE ABLE TO PASS A LEVEL TWO BACKGROUND CHECK through FDLE and FBI and approved by DCF which is required the the Agency for Persons with Disablities since we work with vulnerable adults.
